This Privacy Policy defines and informs the basic guidelines for handling all personal information collected and used by Semba Corporation (“Semba”) in the course of our business.
1. Compliance with laws and regulations concerning the protection of Personal Information
Semba will comply with the Act on the Protection of Personal Information, other relevant laws and regulations, norms, guidelines, and this Privacy Policy.
2. Establishing the management system for information asset management
Semba will build and make continuous improvements to the information security management system in order to prevent unauthorized access to personal information, leakage, loss, alteration, or misuse of personal information.
3. Proper acquisition, use, and provision of Personal Information
Semba will obtain personal information by lawful and fair means.
Semba will clarify the purpose(s) of using personal information, and use the information within the scope of purpose(s).
Without the individual’s consent, Semba will not provide personal information to any third party except for cases required by related laws or regulations.
4. Response to complaints and consultation
Semba will respond appropriately and promptly to complaints and consultations from the individual regarding the handling of personal information.
5. Proper management and securement of accuracy of Personal Information
Semba will sincerely correspond in light to the laws and social norms when Semba receives the individual(s) request for disclosure, correction, or deletion of their personal information.
The handling of Specific Personal Information and Individual Number(s) shall be based on the “Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures,” and the Action Plan and Policy shall be determined separately based on the “Basic Policy on the Proper Handling of Specific Personal Information.”

Handling of Personal Information
In accordance with the “Act on the Protection of Personal Information,” we, Semba, hereby announce the following.
Provided, however, that, with regard to the matters to be publicly announced regarding the purposes of utilization of Specific Personal Information and Individual Number(s), the separately announced “Basic Policy on the Proper Handling of Specific Personal Information, etc.” shall take precedence.
1. Public Announcement of Matters Concerning the Purpose of Utilization of Personal Information
We will use the personal information we have collected only to the extent necessary to inform our business objectives or to carry out our business activities. Personal information will be utilized for the following specific purposes.

In cases where the information is to be used for purposes other than listed above, the purpose of utilization will be notified or publicly announced on a case-by-case basis.
Please note, however, this excludes cases in which the purpose of utilization is recognized to be clear from the circumstances of acquisition, and other cases in the following items where notification or announcement of the purpose of utilization is not required by law.
a. When it is recognized that the purpose of utilization is clear in consideration of the circumstances of the acquisition.
b. Cases in which notifying the person about the purpose of utilization or publicly announcing it may harm the life, body, property, or other rights or interests of the person or a third party.
c. Cases in which notifying the person about the purpose of utilization or publicly announcing it is likely to harm Semba’s rights or legitimate interests.
d. Cases in which it is necessary to cooperate with a national government organ or a local government in executing the affairs prescribed by laws and regulations, and in which notifying the person of the purpose of utilization or publicly announcing it may impede the execution of those affairs.
Please note that personal information may be shared among the following companies in our group in order to achieve the purpose of utilization.

2. Provision of Personal Information to Third Parties
We will not provide personal information to third parties other than subcontractors without the prior consent of the person concerned.
Please note, provided, however, that this does not apply to the following cases, which are exceptions to the law.
a. When required by laws and regulations.
b. When it is necessary for the protection of the life, body, or property of an individual and it is difficult to obtain the consent of the person concerned.
c. When it is especially necessary to improve public health or to promote the sound upbringing of children, and it is difficult to obtain the consent of the person concerned.
d. Cases in which the handling of personal information is necessary to cooperate with an individual or entity entrusted by either a national government organ or a local government to execute the affairs prescribed by laws and regulations, and in which obtaining the consent of the person concerned is likely to impede the execution of the affairs concerned.
Please note, in cases where the handling of personal information is entrusted to a subcontractor, we will appropriately supervise the subcontractor to prevent leakage or re-provision of personal information by means of contractual obligations, etc.
3. Matters concerning requests for disclosure of Personal Information and complaints
We will respond to requests for disclosure, notification of purpose of utilization, correction, addition, deletion, suspension of use, elimination, and suspension of provision to third parties (“Disclosure, etc.”) of personal information collected from the person (or a representative), as well as complaints.
